PRIVACY POLICY.
How AGUN collects, uses and protects your information.
INFORMATION WE COLLECT
When you create an AGUN account we store your email address and password (hashed — we never see it). When you submit an application or register for an event, we store the details you give us: your name, contact details, institution, committee preferences, photographs you upload, and your answers to the application questions.
When you complete a payment we record the transaction reference, amount, verification status and related receipts. Payment gateway credentials are never stored on our website.
When you browse the public site, no advertising trackers follow you. Basic, anonymous usage statistics may be collected to keep the site working.
HOW WE USE IT
Your information is used only to run AGUN: reviewing applications, allocating committees, verifying payments, issuing certificates, contacting you about your application, and maintaining your member record.
Staff and administrators can only see the records their role requires. Every staff access level is granted and revoked by AGUN administration, and sensitive actions are recorded in an internal audit log.
WHO CAN SEE WHAT
Public visitors cannot see your personal records. Only you can see your own applications, payments and documents inside My AGUN, after signing in.
Reviewers see applications only while a category is being reviewed. Your confidential information — including interview notes — is never shown to other participants or the public.
Certificate verification shows only the recipient name, award, event and issue date — nothing else.
HOW LONG WE KEEP IT
Application and participation records are kept while your membership or event record is active, and for a reasonable period afterwards so records and certificates remain verifiable.
You can ask us to correct or remove your personal information at any time through the Contact page, except for records we must retain for verification, financial or legal reasons (for example, issued certificates and payment proofs).
SECURITY
Access to your data is protected by database-level rules, not just the interface. Private keys and mail credentials are stored on the server only and never in the browser.
If a personal data breach ever affects you, we will notify you and tell you what happened and what we did about it.
